Washington, D.C. : My client is a nonprofit founded in 1969 by scientists and students at the Massachusetts Institute of Technology calling for scientific research to be directed away from military technologies and toward solving pressing environmental and social problems. Based near Farragut North Station, my client seeks a Program Assistant for their new opening. The necessary experience needed for interview consideration is as follows: Bachelor's degree. 1-2 years of comparable experience as a program, administrative, or research assistant is required. Careful attention to detail, excellent interpersonal skills, familiarity with office operations, competence with research tools, and intermediate level skills in basic office software including word processing spreadsheets, and database use/maintenance. Demonstrated administrative and research skills are necessary. Experience balancing competing priorities is a plus. Experience managing budgets or contracts, conducting research, and maintaining databases strongly preferred. Familiarity with food and agriculture issues is helpful but not required. What you are expected to do day to day: Provides program administrative support ? Scheduling meetings and managing program calendars ? Making travel arrangements and processing travel expenses for the Director ? Maintaining program records, shared files, memberships, and subscriptions ? Taking notes at meetings and ensuring follow-up ? Coordinating monthly reporting of program activities ? Assisting with foundation reporting by tracking program outcomes and compiling metrics ? Responding to information requests and routine correspondence ? Aiding in preparation of presentations and blog entries ? Tracking supplies of program publications ? Aiding in occasional searches for new staff ? Providing administrative support specifically for the director of the Food and Environment Program ? Supporting and participating in the program?s annual planning process Assists budget manager ? Assisting with yearly budget planning and preparation ? Tracking program spending in relation to annual budgets ? Reconciling budget records monthly ? Preparing and submitting financial documents and contracts Provides organizing support to Outreach Coordinator ? Assisting with preparation of online action alerts and monitoring response rates ? Coordinating event and conference logistics ? Facilitating prompt follow-up with contacts made at conferences and events ? Assisting outreach staff with web-based and social media engagement efforts Contributes to program communication efforts ? Tracking media citations ? Assisting with the preparation, proofreading, publishing, and release of program reports ? Keeping contact lists up to date and facilitating report distribution Performs research and writes on program issues ? Conducting research requested by staff scientists and analysts ?
